Payment & Refund Policy

Every member pays the fee for their member type and submits the application to the association. The state office then approves or rejects it — and a rejected registration is refunded to the account it was paid from.

The rule in short

Pay the fee for your member type, submit, and wait for the association's decision. Approval starts your membership. Rejection starts your refund.

  1. 1 Pay by member type

The fee is set by your category — athlete, coach or referee — and is paid at the end of the registration form.

  2. 2 Submit to the association

Your application goes to the state office with the payment reference attached. Status: pending approval.

  3. 3 Admin decides

An administrator approves the registration, or rejects it with a reason that is sent to you.

  4. 4 Refund on rejection

A rejection starts the refund automatically. The amount is credited to your account in 5 to 7 working days.

01

Scope of this policy

This policy covers every payment made to the Odisha Taekwondo Association through this portal: member registration and renewal fees, category-addition fees, promotion examination fees, and district affiliation fees. It should be read with the Terms & Conditions.

All amounts are in Indian Rupees and include any applicable taxes unless a circular says otherwise. Fees paid directly to a club or dojang for coaching are a matter between you and that club; this policy does not cover them.

02

Fees by member type

Each member pays according to their member type. The rates below are the ones currently in force and are the same rates the registration form charges.

Member type Registration Annual renewal
Athlete / Player Kup and Dan graded athletes ₹500.00 ₹500.00
Coach Black belt grade required ₹1,500.00 ₹1,500.00
Technical Referee Black belt grade required ₹1,000.00 ₹1,000.00

Other published fees

  • Colour belt (Kup) promotion examination — ₹750.00
  • District association affiliation — ₹5,000.00

A member holding more than one category pays the fee for each category. An additional category applied for mid-year carries its own fee and does not change the validity dates of the membership you already hold. Rates are revised by the executive council and any revision is announced as a circular before it takes effect.

03

How payment works

  • Payment is the last step of the registration form. Nothing is charged until the application is complete, so there is no half-finished paid application to rescue.
  • Payments are taken through a secure gateway supporting UPI, debit and credit cards and net banking. The association never sees or stores your card number, UPI PIN or banking password.
  • On success a transaction reference is recorded against your application and a receipt is available from the tracking page. Keep that reference; it is what identifies your payment in any query.
  • The paid amount is recorded against your membership record and appears in your district's fee ledger.
04

Approval, rejection and refund

A paid fee is not a membership.

Payment places your application in the approval queue. Membership begins only when a state administrator approves it.

The state office examines every application against the documents uploaded with it: identity and age proof, belt grade, Dan certificate where the category requires one, and the district and club named on the form.

If the application is approved, your membership number and validity dates are issued, your digital card becomes available, and the fee is retained against that membership year. An approved membership fee is not refundable.

If the application is rejected, the reason is recorded and sent to you, and the refund is initiated in the same step — you do not have to ask for it. The refund is for the full registration fee received against that application, returned to the account and payment method the money came from. A refund reference number is issued and quoted in the rejection notice.

Where a rejection follows from a deliberately false document, the association may withhold the refund and refer the matter under the Terms & Conditions.

05

Refund timeline: 5 to 7 working days

A refund on a rejected registration is credited to the member's account within 5 to 7 working days of the rejection.

A refund moves through three recorded states, and you are notified at the first and the last:

  1. Initiated — created automatically when the registration is rejected, with a refund reference number and the amount.
  2. Processing — the association's finance desk has released the payout to the bank or gateway.
  3. Completed — the payout has been made, with a payment reference recorded against your refund.

Working days exclude Sundays and public holidays in Odisha. The clock starts on the day of rejection. Bank and gateway settlement can add a short delay at the end of the chain: if the amount has not reached your account within three working days of the completion notice, contact us with the refund reference.

06

Tracking a refund

  • The rejection notice carries both the reason and the refund reference number.
  • The status of your application, and of any refund raised against it, is visible on the track registration page.
  • Your district association can see the same refund record for its own members.
  • For anything else, email info@odishataekwondo.in quoting the refund reference and the original transaction reference.
07

What is not refundable

  • Fees for a membership that has been approved — including where the member later decides not to participate, changes district, or lets the membership lapse.
  • Examination fees where the candidate appeared for the examination, whatever the result.
  • Examination and event fees where the candidate did not attend, or withdrew after the closing date printed in the circular.
  • Fees for a membership cancelled or suspended for misconduct or for falsified documents.
  • Affiliation fees for a district whose affiliation has been approved for the year.
  • Bank, gateway or currency-conversion charges levied by your own bank.

Partial refunds are not made against an approved membership year; membership is granted for the year as a whole and is not pro-rated.

08

Failed and duplicate payments

If money leaves your account but the application does not show as paid, do not pay again immediately — gateway confirmations can lag by a few minutes. If the status has not corrected itself within 24 hours, write to info@odishataekwondo.in with the transaction reference, the amount, the date and the registration or member number.

  • A charge that never reached the association is normally reversed by your bank on its own cycle.
  • A duplicate payment verified against the same application is refunded on the same 5 to 7 working day basis, from the date the finance desk confirms the duplication.
  • Refunds are always returned to the original payment method. We cannot redirect a refund to a different account or a different person.
09

Renewals and category additions

A renewal is decided the same way a first registration is: pay the renewal fee for your member type, submit, and wait for approval. A rejected renewal follows the same refund route and the same 5 to 7 working day timeline, and the membership you already held is unaffected by the rejection.

A category addition — for example an athlete applying to be accredited as a referee — carries the fee for the category being added. If the addition is rejected, that fee is refunded; the membership and the categories you already hold continue untouched.

10

Examinations and events

  • Promotion examination fees are payable when the entry is submitted through your district association.
  • If the association cancels an examination or an event and does not reschedule it, paid candidates receive a full refund, or may carry the fee forward to the next session if they prefer.
  • If an examination is postponed, the fee is carried over to the rescheduled date; a candidate who cannot attend the new date may request a refund before that date.
  • A candidate rejected at entry scrutiny — for example for not meeting the minimum training period — is refunded the examination fee.
  • Dan examination fees payable to Kukkiwon are governed by Kukkiwon's own rules once forwarded.
11

District affiliation fees

Affiliation fees are annual and are payable by the district association. Training centres register free. Where an affiliation application is rejected, the fee is refunded on the same terms and timeline as a membership rejection. Where affiliation is approved, the fee is not refundable, including if the unit later becomes inactive during the year.

12

Disputes and chargebacks

Please raise a payment question with us before asking your bank to reverse a charge. A chargeback raised while an application is under scrutiny freezes that application, and the membership cannot be approved until the dispute is settled. The association will supply the transaction record, the application status and the refund record to the bank on request.

Unresolved payment disputes are dealt with under the grievance process in the Terms & Conditions, and are subject to the jurisdiction of the courts at Bhubaneswar, Odisha.

13

Changes to this policy

The association may revise this policy and the published rates. A revision applies to payments made after it takes effect and never retrospectively to a refund already initiated. The “last updated” date above records the current version.
