Terms & Conditions

The rules that govern membership of the Odisha Taekwondo Association, use of this portal and every registration, renewal, promotion and event application made through it.

These terms are an agreement between you and the Odisha Taekwondo Association (“the association”, “OTA”), the recognised state governing body for Taekwondo in Odisha, affiliated to the Taekwondo Federation of India and following World Taekwondo competition and grading rules. They apply to athletes, coaches, referees, clubs and district associations alike.

01

Acceptance of these terms

By creating a registration, paying a fee, renewing a membership, entering a promotion examination or signing in to a district portal, you accept these terms as they stand on that day. If you are registering on behalf of a minor, you accept them as the parent or legal guardian and you confirm you are authorised to submit that child's details and documents.

If you do not accept these terms, do not submit a registration. A registration cannot be submitted without ticking the acceptance box on the first step of the form, and that tick is recorded with the application.

02

Who may register

  • Residents of Odisha, and athletes training at a dojang or club located in Odisha.
  • Applicants for the coach and referee categories must hold a black belt (Dan) grade and must supply the Dan number and Dan certificate at the time of application.
  • A minor may be registered only by a parent or legal guardian, whose name and contact number form part of the record.
  • An applicant already holding a membership with another state association must disclose it; parallel state memberships are not permitted.
03

Accurate information & documents

Everything you enter — name, date of birth, guardian details, Aadhaar number, mobile number, belt grade, district and club — must be true and must match the documents you upload. Age proof and identity documents are checked against the entered details before approval.

Submitting a forged, altered or borrowed document, misstating an age or claiming a belt grade you have not been awarded is a serious offence in sport. It leads to rejection of the application and, where a membership has already been granted on that basis, to cancellation of the membership and of every certificate, result and selection that followed from it. The association may report the matter to the Taekwondo Federation of India or National Sports Federation of Taekwondo.

Your mobile number is verified by a one-time code before the rest of the form opens. Where the association already holds a record for you, that code is sent to the number on the record and not to the number typed into the form. Keep your contact details current through your district association.

04

Payment, approval and membership

Paying the fee does not make you a member.

Every application is examined by the state office after payment. Membership begins only when an administrator approves it. If the application is rejected, the fee is refunded — see the Payment & Refund Policy.

An application moves through these stages, and you can follow it on the track registration page:

  1. Awaiting payment — the form is complete and the fee for your member type is due.
  2. Pending approval — the fee is paid and the application is with the state office for verification.
  3. Active — approved. Your membership number, validity dates and digital card are issued.
  4. Rejected — not approved. The reason is sent to you and the refund process starts automatically.

Only an active membership grants participation rights: entry to promotion examinations, state championships, selection trials and association events.

05

Validity, renewal and lapse

Membership runs for one year from the date of approval — not from a shared season start. Your exact validity dates appear on your membership record and on your digital card.

  • A renewal approved within the grace period after expiry extends from the old expiry date, so nothing is lost by renewing a little late.
  • A renewal approved after the grace period starts a fresh year from the date of that approval.
  • An expired membership does not permit entry to examinations or events until the renewal is approved.
  • Renewal fees are set by member type and are payable in the same way as a first registration.
06

Player, coach and referee categories

Each application covers one category and carries the fee for that category. An existing member who wants an additional category applies for it separately; the additional accreditation is granted only when it is approved, and it runs with the membership year you already hold rather than restarting it.

A referee is accredited to the state association and is not attached to a club. Identity and address details on an approved record cannot be rewritten by a later application — corrections go through your district association.

07

District and club affiliation

Athletes and coaches register through a recognised district association, and through a club or dojang affiliated to it. The association verifies that the district and club named in an application are affiliated and in good standing on the date of the application.

District associations and clubs are responsible for the accuracy of what they submit on behalf of their members, for keeping their own affiliation current, and for the security of their portal credentials. Affiliation fees are payable annually and confer no rights until approved.

08

Belt promotion and certificates

  • Kup (colour belt) grading is conducted under the state technical board; the certificate is issued by the association.
  • Dan (black belt) applications are routed through your district and submitted by the state association to Kukkiwon. The Dan certificate is issued by Kukkiwon and handed over when it arrives.
  • Candidates must meet the minimum training period for the grade applied for and must hold an active membership on the examination date.
  • Examination results are decided by the examining panel and are final. Certificates are personal, non-transferable, and remain the property of the issuing body.
  • A certificate obtained on false information is void from the date of issue.
09

Code of conduct

Members are bound by the ethical standards of World Taekwondo and the Taekwondo Federation of India at every association activity. In particular, members must not:

  • use violence, abuse, harassment or discriminatory conduct towards athletes, officials, volunteers or spectators;
  • compete or officiate under the influence of a prohibited substance, or refuse a sanctioned anti-doping test;
  • attempt to influence the result of a bout, or participate in betting on association events;
  • impersonate another member, or allow another person to use their membership or portal login;
  • represent the association publicly without written authority.

Coaches, referees and officials carry a duty of care towards the minors in their charge and must follow the association's child-safety directions at every event.

10

Suspension and cancellation

The association may suspend a membership while a complaint is examined, and may cancel a membership, an accreditation or an affiliation for breach of these terms, for falsified information, or for conduct that brings the sport into disrepute. Decisions are recorded on the member's activity log and communicated to the member and their district.

A member may appeal in writing to the state secretariat within 30 days of the decision. Fees paid for a membership that is later suspended or cancelled for misconduct are not refundable.

11

Use of this portal

District and administrator logins are personal to the office holder they are issued to. Do not share credentials, and tell the association at once if you believe an account has been misused. Automated scraping, bulk lookups, probing for other members' records and any attempt to bypass the verification steps are prohibited and are logged.

Public lookup tools — registration tracking and certificate verification — return only the limited details needed to confirm a record, and only on an exact match. The association may rate-limit or withdraw access where a tool is being misused.

12

Risk, injury and liability

Taekwondo is a full-contact sport. Participation in training, gradings, trials and competitions carries a risk of injury, which the member — or the guardian of a minor member — accepts. Members must declare any medical condition that affects safe participation, and the association may require a fitness certificate.

The association is not liable for loss, damage or injury arising from participation, from the acts of a club, dojang or district association, or from interruptions to this portal, except to the extent such liability cannot be excluded by law. The association does not provide insurance cover unless an event circular says so explicitly.

13

Governing law

These terms are governed by the laws of India. Disputes are subject to the exclusive jurisdiction of the courts at Bhubaneswar, Odisha. Sporting disputes are first referred to the association's internal grievance process and, where applicable, to the Taekwondo Federation of India.

14

Changes to these terms

The association may amend these terms. Material changes are announced as a circular and the “last updated” date on this page is revised. Continuing to use the portal after a change means you accept the amended terms.
